Volunteer Coordinator

The Volunteer Coordinator is responsible for utilizing volunteer help where it will address the greatest need and serving as a liaison with Hoʻōla iā Mauiakama Long Term Recovery Group (LTRG) partner agencies providing volunteers to the recovery effort. This position requires close collaboration with the Disaster Case Manager and Construction Manager to ensure volunteers are effectively deployed to support the rebuilding and recovery process.

Specific Responsibilities:

  • Acts as the pivotal point of contact for all incoming volunteer teams.
  • Ensures necessary logistics for volunteer housing are in place.
  • Communicates with Volunteer Team Leaders to identify availability, team skills, supervision needs, housing needs, and gathers other pertinent information, including religious and cultural needs.
  • Is aware of the LTRG’s policies and directives on age limitations and enforces them.
  • Acts as liaison to other recovery organizations for sharing and receiving volunteers.
  • Manages the POINT Pro Volunteer Database system, including recruiting nonprofit organizations as users, providing an orientation, assisting with sign-up and launch, updating volunteer opportunities on the website, and coordinating/responding to volunteer requests from local and off-island groups.
  • Creates a Volunteer Packet, including but not limited to an introduction to the community and relevant partners, team preparation and debriefing, health or other site-specific disaster information, and volunteer forms (skill sheet, liability release, medical information and release).
  • Arranges for team housing when needed.
  • Keeps LTRG updated on volunteer needs and incoming teams.
  • Encourages local churches and community organizations to support volunteer teams (food, lodging, church services, etc.).
  • Keeps records on number of teams, volunteers, hours worked, and locations; this is done in cooperation with the Construction Manager.
  • Schedules teams with the Construction Manager to match sites with volunteer skills prior to arrival.
  • Maintains current information on construction and volunteer needs.
  • Shares volunteer schedules in an accessible format with relevant partners.
  • Communicates to teams the location of work sites and provides directions.
  • Orients volunteers and provides all pertinent information.
  • Provides volunteers with area maps, a list of emergency medical facilities, churches, open restaurants, grocery stores, and areas of interest for leisure time.
  • Provides debriefing for volunteers and collects hour logs at the end of each day.
  • Addresses volunteer concerns as soon and as effectively as possible.
  • Provides recognition to teams after service (thank-you note, certificate, appreciation dinner, etc.).
  • Must be flexible to work weekends and evenings to provide support for volunteer teams.

Qualifications:

  • Excellent people skills.
  • Flexibility and ability to multitask.
  • Excellent organizational skills.
  • Strong computer skills, including Microsoft Suite and volunteer management systems (experience with POINT Pro is a plus).
  • Ability to solve problems independently, effectively, and creatively.
  • Strong verbal and written communication skills.
  • Ability to work with people of all ages, ethnic and religious backgrounds, denominations, and cultures.
  • Awareness and respect for each client’s unique cultural and spiritual environment, particularly when working within their home.
  • Preferred: experience coordinating volunteers and working with multiple agencies
